Our client, a leading training institution based in Durban seeks an Administrative Manager to join their team. The role of the Administration Manager will be to support and evaluate administrative team members, review and improve systems and procedures, and generally ensuring the office operates smoothly and efficiently. The Administrative Manager will also assist in delegating tasks and tracking progress on projects, and planning and organizing a calendar of events, which may include training sessions, site visits, etc. The Administration Manager will focus on streamlining office operations to maximize quality and efficiency while reducing costs. The Administration Manager should be analytical, knowledgeable, and organized with a proactive attitude and strong management skills. Job Duties: • Delegating roles and responsibilities to a team of one to five administration assistants • Working closely with the Managing Director to ensure the effective flow of resources throughout the business at all times, adhering to the specific needs of each department • Liaising with office suppliers on a daily basis • Communicating with administrative staff in every division of the business to oversee all admin needs • Holding morning meetings with admin team, to set tasks and expectations for the day • Assess staff performance on a monthly basis, and provide coaching and training to ensure maximum efficiency • Ensure all administrators, documents, checklists, close out reports, and any other communications to be sent out to the clients are first checked and reviewed by the administrative manager before being sent out to clients. • Ensure quarterly performance reviews are completed, and relevant documentation are signed and sent through to HR for filing and record keeping. • Follow the company’s disciplinary code of conduct and issue disciplinary if required, under the advice of Human Resources. • Manage administrators schedules and deadlines • Adhere to company’s policies and procedures • Monitor inventory of office supplies • Organize and supervise other office activities (recycling, site visits, event planning etc.) • Overseeing special projects and tracking progress towards company goals • Provide monthly reports to the Managing Director on various projects rolled out and progress thereof Job Requirements: • Very good understanding of office management processes • Experience with financial and facilities management principles • Proficient in MS Office • Critical thinker and problem-solving skills • Team player • Good time-management skills Job Description Administrative Manager • Great interpersonal and communication skills • Discretion and trustworthiness: you will often be a party of confidential information • Flexibility and adaptability • Organizational skills and the ability to multitask • The ability to be proactive and take the initiative • Tact and diplomacy QUALIFICATIONS • Proven experience as an Administration Manager
