They work collectively with participants to advance the goals pertaining to sustainable development and human rights, labour protection, environmental protection and anti-corruption.

 

About the Job

The Executive Assistant/Operations is required to manage business related tasks such as board meetings, compiling reports, arranging travel, taking minutes, administrative duties, and other organisational tasks. This organisation needs a fairly senior person who is articulate and has experience working with directors and CEOs. The successful incumbent will be a relationship builder, who will interact with peers of senior professionals, while also fulfilling roles related to systems, compliance and governance development across the organisation.

 

Key Responsibilities

Support the Executive Director’s Office.

 

Assist with human resources, payroll, and employee relations administration.

 

Provide support to board engagements and scheduling.

 

Provide support on implementation of strategies, policies, organisation operations.

 

Utilise organisational tools for administration, research and reporting.

 

Researching and conducting data to prepare documents for review and presentation to executive, board of directors and committees.

 

Using various software, including Microsoft, spreadsheets, databases and presentation software.

 

Enter and update client relationship management information, activities and events.

 

Manage calendar and email activities, coordinate and schedule meetings and calls; draft email correspondence; set up and manage video meetings and conference calls; attend and participate in team meetings.

 

Accurately recording minutes, finalising, distributing and filing accordingly.

 

Reading and analysing incoming memos, correspondences, emails, submissions and distributing them as required.

 

Preparing letters, memos, communication, reports, invoices and other documents.

 

Manage billing schedules and invoices and coordinate client invoicing and reporting activities

 

Create and manage knowledge management systems; onboard new team members; procure technology and equipment for new team members; assist with training schedules; communicate risk management policies

 

Requirements

Minimum five years of recent administrative and/or customer service experience; professional services environment preferred.

 

An Undergraduate degree in a related field.

 

Strong analytical skills and ability to understand process and procedures.

 

Ability to adapt to and support change.

 

Exceptional virtual administrative support in a team-based environment.

 

Must be motivated, innovative and have a proactive approach while working under minimal supervision.

 

Promote a teaming culture with common goals to maintain a high-performing team.

 

Attention to detail and ability to maintain a high level of confidentiality is imperative.

 

Meet deadlines with the capacity to work overtime, ability to multi-task, solve problems, and effectively support executive and board members simultaneously.

 

Proficiency in Microsoft Office Suite applications, web-based research skills and ability to learn applications and technology.
