Description
A vacancy exists for a Hospital Management Secretary based at Life St Dominic's Hospital, reporting to the Hospital Manager, Musa Madonsela. This position is responsible for providing a full secretarial and administration support to the Hospital Manager, Nurse Manager and Finance Manager.
Critical Outputs
Diary and travel management
Typing and formatting all relevant correspondence and other documentation in MS Word;
Creating and updating relevant spreadsheets in MS Excel;
Designing and formatting of presentations on MS PowerPoint;
Taking minutes of meetings
Managing and maintaining an efficient filing system;
Dealing with telephonic enquires for managers;
Ordering of uniforms and stationary for the hospital
Ordering and receipting of invoices on SAP or the entire hospital
Setting up of meetings and all associated arrangements
Interfacing professionally with internal and external customers including patients and doctors
Arranging events and assisting with marketing support
Access, maintain and distribute various types of technical and staff data including reports, letters, mailing lists and memoranda
PA support to the Hospital Manager
Requirements
Grade 12
A tertiary qualification is a distinct advantage
At least 5 years’ experience as a personal assistant or secretary to management
Excellent computer literacy in Word, Excel, Powerpoint and formatting of presentations and SAP
A demonstrated ability to take accurate minutes
Drivers license and the ability to travel
Excellent communication skills both verbal and written
