Description

A Payroll Administrator for Life Head Office, this vacancy exists at Head Office reporting to the Payroll Specialist. The successful candidate will be responsible for coordinating, administering and processing accurate and complete HR related information to achieve error free HR processes in support of Company strategic objectives.

Critical Outputs
Assist with the preparation and processing of monthly and interim payroll.
Capture, validate, and maintain payroll data including new engagements, terminations, salary adjustments, bonuses, and deductions.
Ensure accurate processing of wages, overtime, allowances, and statutory deductions.
Perform payroll reconciliations and resolve discrepancies prior to finalization.
Investigate and resolve payroll queries, discrepancies, and variances.
Maintain employee payroll records and ensure digital filing, data accuracy, completeness, and confidentiality at all times.
Generate payroll reports (including payslips) and support reporting requirements.
Prepare and provide payroll documentation for audits and internal reviews.
Maintain strong internal controls and ensure audit readiness.
Ensure compliance with payroll legislation, tax requirements, and company policies.
Process statutory deductions (e.g., PAYE, UIF, pension/provided fund contributions).
Stay updated on payroll regulatory changes and ensure implementation.
Collaborate with HR to ensure employee data accuracy and valid supporting documentation.
Review HR documentation against checklists, validate against standards, and resolve discrepancies.
Review HR outputs from shared service centres and provide feedback where required.
Ensure effective processing and accurate capturing of HR information in relevant systems (e.g., Educos Vision).
Manage LifeLink call tickets, including daily review, follow-ups, and ensuring SLA adherence.
Respond to payroll and related queries from employees and stakeholders in a timely manner.
Maintain digital filing of employee records and documentation.
Communicate payroll deadlines and ensure timely submission of required documentation.
Support payroll system maintenance, upgrades, and testing of system changes.
Stay informed on system changes and participate in training and communication sessions.
Maintain organizational structure updates within payroll/HR systems.
Act as custodian of payroll-related policies, processes, and systems, and escalate non-compliance where necessary.
Support governance, risk management, and adherence to internal processes.
Participate in internal and external audits by providing relevant HR information during the audit process, escalate issues to line manager, review outputs of audits and implement corrective action.

Requirements

Relevant payroll qualification with 3 to 5 years’ relevant experience within a large (2000+) corporate environment.
Exposure to HR systems within large corporate environment (preferably Healthcare sector). Vision Educos’ payroll and Kronos (time and attendance) exposure will be an advantage.
Basic understanding of relevant labour legislation.
Understanding of SA tax legislation.
Computer proficiency.
Driver’s license & own transport.
