Responsibilities

Answer,screen and forward incoming telephone calls.

Receive and assist visitors, tenants, and members of the public.

Handle general enquiries professionally and direct matters to the appropriate person.

Maintain a professional and organised reception area.

Respond to customer and tenant emails and enquiries.

Communicate tenant notices, information and routine correspondence as instructed.

Maintain professional relationships with tenants and escalate unresolved matters to the Centre Manager.

Assist with maintaining updated tenant contact details and records.

Print and distribute monthly tenant invoices.

Prepare and issue tenant receipts and maintain accurate records.

Maintain updated records of office expenses and administrative costs.

Follow up with tenants with regards to outstanding rental.

File and maintain invoices, receipts and related financial documentation.

File and maintain tenant leases, invoices, correspondence and other centre
documentation.

Update forms, registers, lists, schedules and administrative records.

Maintain accurate electronic and physical filing systems.

Assist with preparing reports and administrative documents.

Order front-office supplies as required.

Monitor and maintain inventory levels of office consumables, toilet paper, cleaning materials and chemicals.

Maintain stock records and advise the Centre Manager when replenishment is required.

Set up meetings and prepare accurate meeting minutes.

Provide general administrative support to the Centre Manager.

Assist with correspondence, reports, schedules and follow-ups.

Perform other reasonable duties assigned by the Centre Manager.

Communicate with service providers and contractors regarding administrative and operational matters.

Minimum Requirements

Grade 12 / Matric required.

2–3 years' relevant experience is advantageous.

Basic knowledge of accounting/bookkeeping
