Description
We are looking for a detail-oriented and proactive Administrative Assistant to support our office operations. The ideal candidate will be organized, efficient, and able to handle a wide variety of administrative and financial tasks with accuracy.
Key Responsibilities
Issuing Credit Notes & Journals
Preparing customer quotations, invoices, and delivery notes
Ordering and managing components and consumables
Maintaining product lists and solution quotations
Overseeing courier deliveries, driver schedules, and vehicle logbooks
Handling reception duties, including answering calls
Scanning, filing, and maintaining company and supplier documents
Processing customer and supplier account queries and reconciliations
Managing demo items and time registers
Capturing timesheets, processing payroll, and issuing payslips & wages
Assisting with staff complaints and disciplinary procedures
Auditing stock, petty cash, and tool registers
Creating customer statements and sales orders
Handling returns, product shipping, and supplier invoices
Maintaining track & trace records (QR codes, serial numbers, invoices)
Requirements
Previous admin experience (preferred)
Strong organizational and multitasking skills
Proficiency in MS Office and general computer literacy
Basic accounting/finance knowledge (advantageous)
Excellent communication and problem-solving abilities
Ability to work independently and as part of a team
