We are seeking a highly organized and detail-oriented Fleet Controller to manage and coordinate our fleet of trucks and construction machinery. The ideal candidate will ensure smooth operations across all sites, handle compliance, monitor fleet performance, and support both administrative and operational requirements.
This role requires strong communication, problem-solving, and leadership skills to oversee mechanics, supervisors, and operators while maintaining compliance with all transport and safety regulations.
Ideal candidate would be residing in Kloof, Pinetown, Chatsworth, Phoenix , Queensburg and Surrounding Areas
Duties & Responsibilities
Fleet Administration & Compliance
Maintain and update fleet records, including vehicle registration, licensing, COFs, insurance, service history, and mileage logs.
Ensure all vehicles and machinery are compliant with company policies, transportation regulations, and safety standards.
Save and file all licensing and compliance paperwork (both hardcopies and softcopies).
Arrange and track vehicle inspections, COFs, and renewals.
Operations & Logistics
Conduct daily roll calls for all machinery and operators across sites.
Assign daily work to mechanics and site supervisors; monitor and report on progress throughout the day.
Arrange logistics for trucks and equipment moving between sites, ensuring efficiency and cost-effectiveness.
Visit sites regularly to check on progress, address operational issues, and collect relevant documentation.
Maintain a daily breakdown log sheet, including downtime tracking and reporting back to clients.
Provide daily fleet status updates to customers and stakeholders.
Procurement & Vendor Management
Source at least three quotes for parts, repairs, and services.
Prepare and forward approvals to management, including breakdown history/cause of damage reports.
Forward approved invoices for payment and ensure timely settlement with suppliers.
Liaise with suppliers and service providers via phone and email.
Financial & Payroll Duties
Capture and track fleet-related expenses (fuel, maintenance, tolls, fines, etc.) on live spreadsheets.
Monitor and report on costs: year-to-date, month-to-date, and income vs. expenses.
Support payroll by capturing operator hours, deductions, and updating leave records.
Check payroll accuracy against daily roll calls.
Driver & Operator Support
Maintain driver documentation, medicals, competencies, and support onboarding of new operators.
Respond to internal requests regarding vehicle availability, assignments, and documentation.
Desired Experience & Qualification
Proven experience in fleet control/management (preferably with both trucks and construction machinery).
Strong understanding of transport regulations, COFs, and licensing requirements.
Excellent organizational and administrative skills with attention to detail.
Proficiency in Microsoft Office (Excel, Word, Outlook) and fleet management systems.
Valid driver’s license (Code 10/14 advantageous
