Description

We are seeking a highly organised, analytical, and detail-oriented Fleet & Logistics Administration Analyst to join our dynamic transport and logistics team. This role is responsible for ensuring the efficient administration of fleet maintenance, diesel cost management, transport invoicing, operational reporting, and data integrity across the business.

The successful candidate will play a critical role in monitoring diesel expenditure, analysing fuel consumption, maintaining fleet maintenance schedules, coordinating preventative maintenance, and ensuring all transport services are accurately costed and invoiced. The position requires close interaction with operations, workshop personnel, cartage controllers, drivers, customers, and the finance department to ensure operational information is complete, accurate, and processed within required deadlines.

Key responsibilities include analysing monthly diesel expenses and fuel consumption, reconciling fuel statements, preparing management reports, updating ERP fuel pricing, managing fleet maintenance schedules, monitoring servicing, wheel alignments, brake tests, roadworthiness inspections, preventative maintenance, and following up on outstanding workshop repairs.

The role is also responsible for transport invoicing and operational administration, including maintaining ERP job files, verifying transport execution details, collecting and managing Proof of Delivery (POD) documentation, tracking empty container returns, downloading and reconciling terminal reports, validating tariff structures and job costing, processing customer invoices, and ensuring all supporting documentation is complete before invoicing.

The successful candidate must possess excellent analytical and problem-solving skills, be highly proficient in Microsoft Excel, and have experience working with ERP, transport management, fleet management, or accounting systems. Previous experience within the transport, logistics, fleet administration, or supply chain industry will be highly advantageous.
