About the Role:
We are seeking an exceptional, highly organized Operations & Administrative Specialist to step into a key central role within our business.
You will be the operational backbone of the business—taking full ownership of daily client interactions, financial administrative checks, data analysis, and regulatory compliance.
This role is designed for a self-starter who takes initiative, solves problems independently.

Key Responsibilities
* Client Management & Communication: Serve as the primary point of contact for clients, handling quotes, inquiries, and relationship management with exceptional service and professionalism.
* Data Analysis & Data Integrity: Conduct thorough data checks, analyze operational data, prepare key reports, and ensure all system records are accurate and up to date.
* Financial Administration: Perform daily payment checks, reconcile transactions, prepare and dispatch invoices, and track outstanding accounts.
* Compliance Management: Oversee all company compliance requirements, collect and verify regulatory documentation, and ensure full adherence to industry standards.
* General Operational Support: Manage daily office workflows, follow up on pending operational matters, and ensure seamless end-to-end execution of company procedures.
Requirements & Qualifications
* Experience: Minimum 3 to 5+ years of hands-on experience in a senior administrative, operational, or executive support role (experience within Financial Services, Insurance, or Underwriting is highly advantageous).
* Education: Diploma or Degree in Business Administration, Finance, Commerce, or a related field (relevant work experience will be strongly considered).
* Technical Skills: Advanced proficiency in MS Excel / Google Sheets (data manipulation, reporting) and financial/billing software.
* Compliance Knowledge: Practical understanding of compliance documentation and regulatory checks.
* Attributes: High attention to detail, exceptional organizational skills, strong numerical aptitude, and complete discretion.
What Would Be Beneficial (Bonus Points)
* Experience working within an Underwriting Managers (UMA) or insurance administration environment.
* Familiarity with financial compliance standards (e.g., Fais / FICA processes).
* Strong analytical mindset with the ability to spot errors or discrepancies quickly.
