Description
The Department of Facilities Management in the Directorate of Logistical Services seeks to
appoint a Venue and Timetable Coordinator who will be responsible for providing effective
administrative coordination in terms of utilization of academic facilities, halls and auditoria as well
as rendering relevant support services to support the core business of the institution. This is a
one year fixed-term contract based at Giyani Campus.
INSTRUCTIONS: Applicants are required to submit together with the CVs, a standardized
application form available from the university intranet as well as recently certified copies of
qualifications and Identity Document. Failure to comply with this instruction will disqualify the
candidate. Candidates may be subjected to appropriate psychometric testing and other selection
instruments. Applicants who previously applied are encouraged to reapply. Kindly note that
these positions are open exclusively to Limpopo Province residents therefore, applicants
primarily residing in the said Province will be given priority.
Key performance areas/Core functions:
• Client liaison with regards to venue bookings to ensure that all records are kept as
prescribed.
• Coordinate support services for venue bookings
• Administrate payments usage as prescribed
• Synchronize venue bookings with academic timetable
• Facility maintenance inspections to log calls on the service desk for the relevant
department responsible for maintenance
• Coordinate the submission of timetables as per approved dates
• Ensure that all timetables are captured on ITS system
• Assist with adhoc booking requests (block courses and tests)
• Booking confirmation of SR4 requests
• Synchronize venue bookings with timetable bookings
• Capturing data on CELCAT timetable software and upload data to the ITS system
Academic Qualification:
• NQF level 6
• A three year relevant qualification
Or
• NQF level 5 plus five (5) years experience
Knowledge and Skills
• Must have working knowledge of the ITS system
• Must have basic knowledge of academic timetable environment
• Must have knowledge of the support services environment to be able to determine the
users need in the facility
• Knowledge of contract management
• Must be computer literate
• Must have good communication, client and organising skills
• Good administrative skills
• Will be required to work after hours
