Description
A vacancy exists for a Maternity Case Administrator based at Life Beacon Bay Hospital, reporting to the Patient Services Manager.
The successful candidate will be responsible for care coordination administrative functions during a low and high-risk antenatal maternity journey as well as the post-partum journey as part of the Little Life Integrated Care Product (LLICP).
The function will manage onboarding and offboarding of patients to the LLICP, track patient compliance to antenatal care plans and assume a key liaison role between the OBGYN’s in a facility and the little life maternity clinic. The Fixed term position will be until 31 August 2026.
Critical Outputs
Communication & Liaison
Communicate with doctors practice regarding referrals, completion of the forms for risk change.
Liaison between the midwife and the doctors.
Follow up on patient appointments with midwife or doctor’s office.
Communicate with Nursing Maternity Team.
Work closely with the midwife and unit manager.
Management of patient referrals, risk and status updates
Actioning referrals by doctor’s practice
Actioning risk changes or status updates from doctor’s practice
Ensuring all necessary documents are uploaded onto the system
Admin & Data Capturing/CMS user
Capture source system data into CMS system
Actioning CMS alerts
Admin: ensuring all required forms are captured e.g. patient consent, change of risk and referrals
Retrieve physical consent forms and stats on how many patients were referred
Ensuring standard care plans are adhered to
Ensuring all CMS tasks actioned within specified time frame
Ensuring info retrieved from the doctors and midwife is accurately captured on CMS
Actively form part of the MDT
Assist with marketing the program
Effective management of relationships with internal/external stakeholders by
Foster and maintain healthy relationships with internal stakeholders. E.g. nursing, pharmacy and business hubs
Provide relevant feedback and information on concerns or issues raised by internal stakeholders
Provide and facilitate training regarding RSRT contracts to relevant internal stakeholders (e.g. pharmacy, pre-admission and nursing staff)
Gatekeeper to external patient calls with escalation to midwife
Identify and monitor gaps and risks and assist with the implementation of corrective actions agreed with management.
Provide relevant feedback and information on concerns or issues raised by external stakeholders
Provide feedback on external stakeholders impacting on the efficiency and effectiveness of the co-ordination process.
Escalate doctor non-compliance in terms of the Maternity ICP program to the relevant meetings.
Requirements
Matric
Any qualification that covers Anatomy, Physiology, Pathophysiology and Microbiology as foundational course
Knowledge of hospital patient services processes
Knowledge and understanding of CPT & ICD coding
Knowledge of Funder contracts, scheme rules, exclusions and benefits
Understanding of private hospital industry and practices
